Next Monthly ACC Meeting: Wednesday, July 24, 2024, at 6 p.m. at the tennis center meeting room. The deadline to submit an application to Greenacre for consideration at the meeting is 5 p.m., Monday, July 22, 2024.
ACC Applications are submitted online via the VDF Homeowner portal at https://home.greenacre.com/login Select "Requests" from the menu on the left of the page and then select "ARC Request" to fill out and submit your request. You MUST upload any required or additional documents to support your application. If you have not set up a login for the portal, please contact Marissa Harrison at mharrison@greenacre.com.
Paint applications MUST include the Scheme number(s) for all colors requested.
When installing a new fence or replacing an existing one, homeowners MUST include a description of the dimensions (height, length) of the proposed fence, an image of the proposed materials (vinyl, wood, metal picket, etc.), and a lot survey showing the location of the proposed fence even if you are replacing an existing fence. The ACC must have this information to make a decision. If any of those items are not included with the application, the application will be disapproved. This could cause a significant delay for the homeowner.
The Architectural Control Committee (ACC) was established in accordance with Article VI, Section One of the Van Dyke Farms Master Declaration of Conditions, Covenants, and Restrictions. The purpose of the ACC is to review and approve plans and specifications and to approve all new buildings and structures, landscaping schemes, and repairs or improvements to ensure a community of the highest quality.
From the deed restrictions: "No building, fence, wall, driveway, swimming pool, recreational courts, or any structure regardless of size or purpose, whether attached to or detached from the main dwelling, shall be commenced, placed, or erected on any lot; nor shall any exterior addition, or alteration be made, unless plans have been approved in writing by the Committee."
Homeowners should familiarize themselves with the deed restrictions before submitting an application. The relevant portion of the master declaration involving architectural standards and restrictions can be found here: VDF Deed Restrictions. Further, the HOA Board has updated and recorded new Guidelines and Standards to further clarify and provide greater detail on the deed restrictions related to individual homeowner lots.
The ACC typically meets the first Monday of each month to review applications from homeowners. The committee comprises five members who vote on each application. Homeowners with business before the committee are encouraged to attend meetings to provide any additional information to committee members should they have any questions.
The homeowner portal is the primary method for submitting ACC requests, however, homeowners may download the form here or pick one up at Greenacre Properties located at 4131 Gunn Highway. Fill out the form completely and return it to Greenacre Properties via mail, fax, or email. All forms must be submitted to Greenacre Properties so they can be properly logged and date-stamped.
The ACC will not accept any applications that have not been submitted to Greenacre Properties.
When submitting an application for exterior painting, be sure to indicate the approved scheme number on the form. Please be advised that all requests for colors that are not in the approved VDF color book will be automatically denied. Homeowners may request that the HOA board consider adding the proposed color to the VDF color book at the next scheduled or any subsequent board meeting. If approved by the Board, homeowner must submit a new application with the approved color for consideration by the ACC. This can add significant time to the process, so homeowners are asked to factor in this additional time when submitting applications for non-approved colors. Completed applications must be submitted at least two (2) business days prior to the next scheduled meeting. For example, if the ACC meeting is on a Monday, the application must be logged in and date-stamped by Greenacre Properties by close of business on the Wednesday prior. Applications submitted after that time will be reviewed at the ACC meeting the following month.
